Privacy policy
How we process personal data at Admitex.
1. Who is the controller of your data
The controller of your personal data is Admitex spółka z ograniczoną odpowiedzialnością spółka komandytowa, ul. Wojska Polskiego 136C, 41-208 Sosnowiec, Poland, VAT No. PL6443504636, REGON 243347617, KRS 0000473325.
Contact for data protection matters: biuro@admitex.pl, tel. +48 530 767 117.
We have not appointed a Data Protection Officer. Please direct all data protection matters to the address above.
2. Contact by phone and e-mail
When you write or call us, we process the data you provide: name, e-mail address, telephone number, company name and the content of your enquiry.
Legal basis: Article 6(1)(f) GDPR — our legitimate interest in answering enquiries and maintaining the business relationship.
3. Orders and contracts
In connection with sales we process data of the contracting party and its representatives: company name, VAT number, registered and delivery address, name of the person placing the order, their telephone number and e-mail address.
Legal basis: Article 6(1)(b) GDPR (performance of a contract) and Article 6(1)(c) GDPR (tax and accounting obligations).
4. Customer Panel
The Customer Panel at app.admitex.pl requires logging in with a VAT number and a PIN. Within the Panel we process: the VAT number and PIN, company data including address, contact person details (name, telephone, e-mail), order and shipment history, the status of IBC containers issued, requests for sales and technical visits, and notifications.
If you enable push notifications, we store the subscription identifier assigned by your browser together with its name and version. You can disable notifications at any time in your browser settings.
The PIN is stored only in a cryptographically protected form (a salted hash, PBKDF2-SHA256) — we do not keep it in plain text and we are unable to read it or disclose it. If you forget your PIN, we issue a new one.
For security purposes we also store technical login session data. A session expires 30 days after the Panel was last used, and the number of failed login attempts is limited.
Legal basis: Article 6(1)(b) GDPR (performance of a contract) and Article 6(1)(f) GDPR (ensuring the security of the service).
5. The map on the Contact page
We provide a Google map on the Contact page. The map does not load automatically — until you click the “Show Google map” button, your browser does not connect to Google servers and transfers no data to them.
After you click, Google may receive your IP address, information about your device and browser, and may store its own cookies. The controller of that data is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Details: policies.google.com/privacy.
6. Cookies and technical data
The admitex.pl website does not store its own cookies. The fact that you dismissed the cookie notice is kept in your browser’s local storage. This data is not transmitted to our server and you can remove it at any time by clearing site data in your browser.
Third-party cookies may only be stored after you deliberately load the Google map described in section 5.
The hosting server records standard access logs: IP address, date and time of the request, the address of the requested page and the browser type. They are used solely to ensure the security and correct operation of the website. Legal basis: Article 6(1)(f) GDPR.
7. Who we share data with
Recipients of the data may be: our hosting and e-mail provider, the accounting office and entities providing accounting services, carriers and transport companies to the extent necessary to carry out delivery, suppliers of the IT systems we use, and Google Ireland Limited to the extent described in section 5.
Data may be disclosed to public authorities where required by law.
We do not sell personal data. Apart from the case described in section 5, we do not transfer data outside the European Economic Area.
8. How long we keep data
Correspondence and technical or commercial enquiries are kept for 1 year from the end of the contact.
Customer Panel account data, including order and shipment history, is kept for 1 year from the last login. Login session data is deleted sooner — 30 days after the Panel was last used.
Invoices and other accounting records are kept for 5 years, counted from the beginning of the year following the financial year to which they relate. This period follows from Polish accounting and tax law and cannot be shortened.
Data necessary to establish, pursue or defend claims is kept until the limitation period expires — as a rule 3 years in business-to-business relations.
9. Your rights
You have the right to: access your data and obtain a copy of it, rectify your data, erase your data, restrict processing, data portability, object to processing based on legitimate interest, and withdraw consent at any time — without affecting the lawfulness of processing carried out before its withdrawal.
Requests are accepted at biuro@admitex.pl.
You also have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00-193 Warsaw, Poland.
10. Is providing data mandatory
Providing data is voluntary but necessary for us to answer your enquiry, conclude and perform a contract, issue accounting documents and give you access to the Customer Panel.
11. Profiling
We do not profile users and we do not make automated decisions concerning them.
12. Changes to this policy
The current version is always available at https://www.admitex.pl/en/privacy-policy.html. If we make changes, we publish a new version together with its effective date.
This policy applies from 26 September 2026.
